  • Effective communication skills
  • Civil or Architectural Engineering degree in progress from an ABET accredited university preferred
  • 3rd or 4th year undergraduate degree or master’s degree in progress

DCI Engineers, a leading structural and civil engineering consulting firm with 20+ offices spanning the United States, has an opportunity for a full-time Administrative Assistant/Office Manager in its Austin office, with responsibilities supporting DCI's Austin, Dallas, Houston, and Denver operations.

Responsibilities of an Administrative Assistant/Office Manager:

  • Provide comprehensive administrative support to the offices, including processing expense reports, data entry, managing office supplies, and planning and executing office events.
  • Draft and develop project proposals, establish base contract fees, and manage RFP processes.
  • Proof and edit letters and reports. Format project specifications.
  • Enter project information into company project management database.
  • Coordinate marketing communications and serve as liaison between office and Marketing team.
  • Review accounts receivable.
  • Support team members with administrative project coordination duties.
  • Assist with onboarding new hires.
  • Provide other office and project support as needed.

Requirements for an Administrative Assistant/Office Manager:

  • Prior professional experience working in an office setting, with 2-5 years preferred.
  • Demonstrated proficiency with Microsoft Office Suite, including Excel, Word, and PowerPoint.
  • Basic understanding of accounting and invoicing principles/procedures.
  • Familiarity or prior experience with Deltek Vantagepoint CRM, Adobe Photoshop, InDesign, and construction project management software preferred.
  • Excellent writing and editing skills.
  • Ability to anticipate office staff needs, resolve problems and self-prioritize.
  • Detail-oriented with the ability to multi-task in a fast-paced environment.
  • Ability to handle sensitive and confidential information.
  • Ability to take initiative by anticipating, identifying, and resolving problems in a timely manner.
  • Superior organization and time management skills with the ability to prioritize tasks.
  • Ability to interface with clients professionally.
  • Construction industry experience/knowledge desired but not required.
